Checklist For Moving Your Company To New Offices

 

 

There are times when a company has to move into a new building. This is because of needing to expand or an expired lease. Whichever the reason, moving is stressful. Here is an easy to follow checklist for tasks to complete to make the company move easy and more efficient.

 

Six Months Before Move Date

 

This is the time when a lot of the big tasks must be done. This includes;

 

☐Search out new location for your business.

☐Apply for any new licenses or permits needed for move and any construction.

☐ Start renovations if needed.

☐Notify workforce of move and changes.

☐ Order signs and have installed at new location.

 

Five Months Before Move Date

 

After you have started to get the building in shape, have notified the workforce of the coming changes, and are making preparations for the move, you will have to start the process of moving. This will include;

 

☐Contacting moving companies and setting date for move.

☐Getting insurance coverage for business items for protection against any accidents.

☐ Make arrangements for packing materials and extra help.

☐Notify utilities of move and set up date when electrical, phone, and other services can be installed.

☐Make changes to website, or other marketing materials, of new address, phone number, and fax number.

☐ Start packing any non-essential records and items.

 

One Month Before Move Date

 

As the moving date looms near, there are other items that must be checked off. These will include;

 

☐ Talk with owner of building and set up security passes for employees and any other access needed.

☐ Create new business cards, letterheads, and envelopes for easy transition.

☐ Notify each of your vendors of the date of your move and the new address.

☐ Contact organizations of new address.

☐ Have new checks printed so accounting can stay uninterrupted.

☐ Request a change of address at the post office.

 

Week of Move

 

Once all of the heavy lifting has been taken care of it is time to get the actual office building ready to move. This will mean some work stoppage due to packing and moving, so make sure that all employees know of this.

 

☐ Pack up all items in office.

☐ Move all of the larger furniture into the new location.

☐ Move all the computers and other office item.

☐ Make all new connections in new office building.

☐ Assign any parking passes.

☐ Test out emergency plans.

☐ Test all utility, phones, internet, and fax connections as components are hooked up.

☐ Debug any problems.

☐ Clean old office buildings.

☐ Have a “Re-Opening Party” with clients, vendors, and employees.
